Hosted by Chulalongkorn University in Bangkok, this event brought together multiple international cultural performing arts delegations in Bangkok for a collaborative showcase and workshop, featuring performances and cultural exchanges through workshops.

The project involved extensive coordination with overseas embassies, cultural centres, and performers, as well as on-ground logistical planning for a multi-day programme.

What I Did

I worked as part of the core organising team, where we handled logistics and coordinated for the participating delegations. Our responsibilities included liaising with embassies and cultural centres, managing travel and accommodation arrangements, and preparing event materials such as posters and nametags.

I was specifically assigned to oversee the Sri Lanka delegation, where my subgroup and I accompanied the delegation and performers throughout the event to ensure smooth operations and adherence to schedule. I also coordinated transport between excursions, performances, and workshops, ensuring all participants were present, accounted for, and on schedule.

My Efforts:

• Managed the flights and accommodations of the Sri Lanka delegation
• Reached out and communicated to the Sri Lanka Embassy in Bangkok to join our event
• Made nametags and posters for the event
• Arranged transport for the event participants around Bangkok
• Planned the workshop/event day schedule
• Accompanied the Sri Lanka delegation throughout the event

Challenges:

We also encountered some challenges during the event, that we overcame. Getting a response from the Sri Lanka embassy was an issue via email, so I dropped by in person to their consulate to submit our request. In addition, some of the delegations failed to submit the required documents and information by the deadline, which made us a little more crunched for time. Lastly, there were some difficulties in the alignment of the schedules for all the different performing groups, but this was eventually sorted out once we received all the information from the delegations.
